Additional Charges

Understanding the intricacies of billing can be a complex journey. We want to ensure transparency and inform you that some procedures or services are billed separately from your regular office visit.

Depending on your insurance benefits, you may have a share in covering the cost of these services. If you are unsure if your insurance covers these procedures and services, please call the customer service number on your insurance card.

Below, we’ve outlined common services and procedures that may result in additional charges alongside your regular office visit.

Newborn Visits

Newborn well visits begin at one month of age, and until then, we will see your baby at scheduled newborn follow-up visits, which may incur additional charges for:

  • Blood draw (if a repeat PKU is needed)
  • Frenotomy (tongue clip)
  • Foreskin manipulation
  • Silver nitrate cauterizations of the navel

*Should your child require treatment for an acute or chronic illness during their scheduled well visit, there may be an additional charge for a sick visit.

Medical Record Release

If you are transferring out of the practice, please request a medical record release. The fee for transferring medical records out is $6.50 for electronic retrieval via secure email or $20.00 for a paper copy. The total fee must be paid prior to the emailing, picking up, or mailing out of records. Please allow 1 week for processing and sending of records.

Missed Appointments & Cancellations

We do our best to accommodate your schedule and kindly ask that you cancel in advance to allow other patients to be seen. The following fees apply for missed appointments or late cancellations.

Form Fees

As healthcare keeps changing and demands more time and resources for tasks that aren’t covered by insurance, we’ve introduced form fees. These fees help us concentrate on giving your child the best care while keeping our administrative tasks running smoothly.

Most forms are completed within 3-5 business days. If you need your form completed in less than 48 hours, we will charge an additional $10.00 expedited fee.

Billing & Insurance FAQs

Here are some common questions that arise around billing and insurance. If you have additional questions, please call our office.

  1. Your coverage may include a deductible or coinsurance.
  2. The services your child received may not be covered by your insurance, so you are responsible for the balance due. We’ve provided a list of services you may be charged for above; however, it’s important to check with your insurance company to find out what services you are responsible for covering.

A deductible is an amount set by your insurance plan. It might apply to all services or just some of them. For example, there could be a $200 deductible for lab services. Your insurance won’t cover lab services until you’ve paid $200. To check if you have a deductible, please contact your insurance company.

Coinsurance means that for some services your insurance doesn’t fully cover, you’ll pay a certain percentage, and your insurance will cover the rest. Your insurance company can tell you which services this applies to.

A copay is a fixed amount of money that you pay out of pocket for a specific healthcare service, such as a doctor’s visit or medication, as determined by your insurance plan. It’s typically a set fee that you contribute toward the cost of the service, while your insurance covers the remaining expenses. Contact your insurance company to find out what your copay amount is.

Your copay is part of the agreement between you and your insurance company, according to your specific plan. It is also an obligation that we have as part of our contract with your insurance company to collect a copay at each visit.

You may receive letters from our statement company, POS (Professional Office Services), notifying you of balances 30-60 days, 61-90 days, and 121 days overdue before the balance is sent to our collection company, PDQ, for collection.

Please call your insurance company and discuss it with them.

Unfortunately, our doctors and other clinical staff have no way of knowing what is or is not covered by your insurance since the individual plans are so varied. There is no one-size-fits-all coverage. To know if a service is covered under your plan, please call your insurance company.

Statements are sent only to the parent who lives with the child, and we consider that parent the responsible party. If that parent feels that the former spouse should pay the balance or your divorce decree says the former spouse is responsible, you must make arrangements between yourselves to pay the financial obligation for services. Only one statement is mailed, and payment is due when the statement is received.

If there were discussions or treatments related to your child’s health that extended beyond the usual scope of a routine well-child visit (which is determined by industry standards), we are required to charge a sick visit in addition to the well visit. The charge you received may be associated with these additional matters. Please feel free to reach out with any questions; we’re here to clarify these charges for you.
